Reviewing exam accommodation requests

Did you know that accommodations don't always have to be facilitated through the CAS Exam Centre? Instructors are welcome to facilitate a student's accommodations themselves, whether in the classroom or through your own exam setup arranged with the student. Reach out to us to discuss what that could look like for your course.Once exam accommodations have been added to a student’s accommodation plan and they have submitted a Semester Request for the current semester, they will have the option to submit an Exam Booking Request through Accommodate to write their exam with the CAS Exam Centre.

When a student makes an Exam Booking Request, faculty will receive an email asking them to log into Accommodate to provide exam details as soon as possible.

Select 'Exam requests and Courses'

After you log in to Accommodate, select ‘Exam Requests and Courses’ in the left navigation menu.

Select the Applicable Course

The ‘Exam Requests and Courses’ page provides the option to search and select the specific course. Locate the course indicated in the email and click to open it.

Select the 'Exam requests' Option

After selecting the course, to view a new exam booking request, select the ‘Exam Requests’ option.

Select the Student

Under 'Pending,' select the student that has submitted the exam request.

Enter Exam Details

  • Date and Time - select 'Yes' if the date and time are correct. Select 'No' if it is incorrect. If you select 'No,' a box will appear to indicate the correct date and time.
  • Specify the amount of time given to the class to complete the exam. 
    • Note: Please provide only the class duration for the exam. Our administrative team will calculate the student's accommodated time and correct it if the student entered it incorrectly. 
  • Select the 'Exam Submission' method - how will the exam be provided to CAS? 
    • Note: The preferred method is 'Upload to Accommodate,' and in a Word document format, rather than PDF. 
  • There is an option to upload the exam file if this is the preferred method of delivery. 
    • Note: If you choose to upload the exam within the form, you will be directed out and none of your changes will save. If you haven't already uploaded to exam file, please wait to do until AFTER you have submitted this form. 
  • Select the 'Exam Return' method - how would you like the completed exam returned to you?

Select Exam Materials

Select all materials the student is permitted/required to bring into the exam. If any permitted/required materials are not listed, please write them into the text boxes below.

Select a 'Faculty Contact Method'

Select the preferred contact method from the drop-down menu. 

  • Note: Please ensure you are available during the student's scheduled exam time, as they should be provided the same access to ask questions, as would students in the classroom.

Approve Exam Details

Select 'Yes' if all the exam details are correct. If there are any incorrect details, select 'No,' which will open a text box to explain how we can correct it.

Select 'Submit'

Make sure you click 'Submit' to finalize your approval.

Check your 'Approved' list

Before the exam moves from 'Pending' to 'Approved,' our team will review the details and make any changes as indicated by you on the form. You will receive a confirmation email once the exam has been reviewed and approved by our team.
