Tenured Associate Professors may apply for promotion to the rank of Professor in any year by declaring their intention to apply to their dean between March 1 to 31.
Promotion to Professor is optional. There is no obligation to seek promotion, and it is open to all Associate Professors at 51 as a step-in career advancement.
Applications are accepted once per year:
- Notice of intent: Submit to the dean in March 1 - 31,
- Tenure & Promotion File (TPF): Submit by May 31.
Important note: it is advisable to plan at least two years in advance of your application, particularly to gather required peer evaluations of teaching.
Tenure and Promotion File (TPF) requirements
Associate Professors applying for promotion to Professor must submit a complete Tenure and Promotion File (TPF) by May 31 of the application year through a dedicated MS Teams channel, which will be provided after you declare your intention to apply. The TPF includes:
-
The candidate’s letter of application
-
The Dossier document
-
The Dean’s summary report of the candidate’s individual probationary evaluation
-
The Dean’s written assessment of the candidate’s progress since completion of the initial probationary period
-
Student evaluations from the two most recent sets of evaluations per Article 13.5 (or the most recent evaluation if only one has been completed since the award of tenure)
-
Peer evaluations of two different courses or modules in one year in two of the three years preceding the application. For semester-based programs, evaluations must occur in two different semesters. In programs where a desktop review is not practical (e.g., clinical teaching), an in-class teaching observation will suffice.
-
Letters of assessment from external reviewers. This normally includes two external reviewers’ reports, coordinated by the Dean’s Office after submission of the application.
Important note: In most cases, Associate Professors will need a minimum of two years to gather sufficient peer evaluations to meet requirement 6 above.
Reapplication policy
Associate Professors who are unsuccessful in their application must wait two years before reapplying. A candidate may only reapply twice.
Review standards and committees
The standard by which review committees adjudicate applications are determined by each academic area and are listed on the Faculty Standards Committee of Senate website.
